Invoices

To see your invoices, go to Sales in the top menu and click Invoices in the drop-down menu. To confirm the payment of an invoice, click Paid and then Confirm Paid. To see an invoice, click on the invoice.

You can search your invoices using the filters to the left.

Create invoice

  1. You create your invoice from your sales order. Go to Sales in the top menu and click Orders in the drop-down menu. On the sales order, click Create Invoice in the upper right corner.
  2. Fill in Contact and Requisition number to appear on the document.
  3. In the field Delivery selection:
    • You can select Deliver all lot lines and invoice. Now all the lots on the order will be marked as Delivered and the invoice will be created.
    • Alternatively, you can select Invoice already delivered items only. In this case, your invoice will be created based on the lots that are marked as delivered.
    • You can also select Invoice everything - do not deliver! In this case, you will invoice all lots on the order without marking them as delivered (e.g. if the customer will collect the items).
  4. Select Payment method and Payment date, if it has not been auto filled based on your default settings.
  5. You may want to write a Remark.
  6. In the section Invoice Action, you have the following options:
  • If you select Go to invoice, you will be directed to the invoice information when the invoice is created.
  • By selecting Show invoice PDF, you will be able to see the invoice document in PDF format when you create the invoice.
  • You can choose to Send by email to send the invoice directly to the costumer’s e-mail after clicking Create invoice. A pop up window will open where you can write the email to the customer and the invoice will be attached as a PDF.
  1. Click Create Invoice to create the document.

  2. You can create the invoice as a pro forma invoice by clicking Create first as draft and then Save as draft. In order to create the invoice at a later time, you can click Create invoice again in the upper right corner and select Re-sync and Finalize.

  3. Once you have created the invoice, you can see it in the section Quick access to documents section on the sales order.

You can also create an invoice where you select which tracking systems (batch no., Pallet no., Container no.) are to be included in the document:

Click Sales in the top menu, then click Invoice in the drop-down menu. Go to the invoice in question and select the Documents tab at the bottom of the invoice. Click the Create Invoice Document button. This invoice document will now overwrite the previous document. Alternatively, you can change your general settings for information on documents.

If you click on Finish without invoice, all items on the order will be delivered and the order will have the status Finished without an invoice being created.

Create collective invoice

When a collective invoice is created, it includes all delivered orders to a partner, if the orders has a delivery date earlier than the entered invoice date. E.g. if your company deliveres multiple orders during a month, at the end of the month, you can create one collective invoice for all orders delivered.

To create a collective invoice, some criterias need to be met. The sales orders need to have:

  1. the same customer and currency entered in the Order details
  2. delivery dates earlier than the invoice date
  3. the status Delivered

How to:

  1. Click Sales in the top menu and select Invoices.
  2. Click Create Collective Invoice in the upper right corner.
  3. Enter the name of the customer you wish to invoice.
  4. Enter an invoice date.
  5. Enter other relevant information.
  6. Before finalizing the invoice you can click Create first as draft. Otherwise, click Create Invoice.

You can now send the invoice, or click Cancel. The collective invoice will now appear in the invoice overview.

 

Hide pickup from-location

If an order is delivered directly to a customer from your supplier, it is possible to hide the pickup location from order confirmations and invoices, in case you do not wish for your customer to see this.

Please notice, that some certifications, especially regarding organic products, require visible pickup locations on documents for full transparency.

  1. When the order is ready, click the arrow on the left of the Order confirmation under Quick Access to Documents.
  2. Click View document in the drop-down menu.
  3. Tick off the box by Hide pickup from-location.
  4. Click Create.

  1. When the order is ready for invoicing, create the invoice as usual, but do not send it.
  2. Go back to the salesorder.
  3. Click the arrow on the left of the invoice under Quick Access to Documents.
  4. Click re-create in the drop-down menu.
  5. Tick off the box by Hide pickup from-location.
  6. Click Create.
